RENTER DOCUMENTATION GUIDE

How to keep rental maintenance records during your lease

Keep a before photo, the request you actually sent, the reply or work-order reference and a later condition photo. Label observations separately from explanations or assumptions. Use the same room and spot so the sequence is easy to find.

Practical record-keeping guidance for US renters. Not a legal assessment or a promise of a deposit refund. Examples are illustrative.

A useful record starts with an observation

You do not need to photograph your whole apartment every week. Add a record when something relevant changes: a visible mark appears, a fixture stops working normally, maintenance visits or a repair changes the surface. Write what you observed and when. Do not guess a cause you cannot confirm.

For example, “Water visible in the cabinet below the kitchen sink at 7 pm” describes an observation. “The manager’s plumbing caused the damage” is a conclusion that the photo alone cannot establish. A calm, factual note leaves room for later information.

Keep an urgent problem separate from the archive task

If a condition may be dangerous or urgent, use the appropriate emergency or building channel. Do not delay reporting it to finish a photo set. Avoid touching electrical equipment, entering unsafe areas or dismantling anything. The app is not a reporting channel and no one is monitoring your newly uploaded photos for emergencies.

Tenacove does not diagnose water intrusion, mold, electrical problems or any other safety condition. A record can help explain what you saw to the person responsible for responding.

Build four parts of the timeline

First observation: take a wide view and a detail, with the room and exact spot. Keep the original file. If something cannot be shown, add a note about that limitation.

Request: preserve the message, portal entry or work order you actually submitted. Save the date, number and the words you used. Follow your lease and local reporting process; storing a photo privately does not notify management.

Response: keep the reply, visit confirmation or relevant written update. If you only have your own recollection of a call, label it as your note rather than a quotation or confirmed statement by the other person.

Later observation: photograph the same place after work or after the condition changes. Say what looks different and what you could not verify. A work order marked “closed” and a surface that appears repaired are different pieces of information.

Use the same label every time

A stable label such as Bathroom → Sink & fixtures is easier to compare than “leak,” “repair” and “bathroom problem” spread across unrelated folders. Put the specific detail in the note. If two items share a general spot, include an identifying feature: “left basin drain” or “cabinet floor directly below the supply valve.”

You can keep this system in ordinary folders too. Tenacove adds structured room and spot fields, same-place comparison and original-file export. It does not replace your manager’s reporting portal.

Make follow-up notes honest about timing

If you noticed the problem yesterday but photographed it today, use today as the photo observation date and explain the earlier recollection in the note. Do not backdate a new image. Keep earlier files unchanged; if you annotate a copy for explanation, retain the original alongside it outside the app.

A file hash can later check whether the stored bytes match a downloaded original. It cannot establish that the date, description or inferred cause is true.

Keep correspondence outside this Beta

The current application accepts photos and notes. It does not import emails, videos, leases or PDF invoices. Keep those source files in a separate folder with clear names. In a photo note, you can reference “work order 482, submitted Oct 6” without pasting unrelated account information.

Do not put door codes, identity documents or private details about roommates into a record that does not need them. Original images may contain location metadata. Review what you share if you later send a report to someone else.

Make an occasional archive check

After a meaningful repair, open the record again and confirm that the photo and note saved. A periodic manual calendar reminder can prompt you to review recent changes and export a copy. Tenacove does not currently send catch-up emails or monitor apartment reviews, so there is no automatic reminder to rely on.

For rights and local repair procedures, start with USAGov’s tenant-rights resources. For the last walkthrough, continue with the move-out photo checklist.
