TENACOVE FIELD NOTES

Organize rental photos so your export is useful later

A useful rental photo archive preserves original files and enough context to understand them. Check that dates, rooms and notes match, extract the whole download, and open the report and originals before relying on the copy.

Practical record-keeping guidance for US renters. Not a legal assessment or a promise of a deposit refund. Examples are illustrative.

Make the record understandable outside the app

Imagine opening a photo folder a year later. Would you know which room a detail shows, why you kept it and what date information you actually have? A practical archive answers those questions without relying on your memory of an interface.

Use the same room and spot labels through the lease. Add a short observation rather than a conclusion. Keep the original photo, not only a reduced messaging-app copy or screenshot. Move-in, maintenance and move-out records work best when their labels connect.

Understand the three different dates

A photo can have camera metadata, a date you enter as an observation and a server receipt time. These are different facts. Camera settings and metadata may be incomplete or changed. A user-entered date is a statement you confirm. Server receipt time says when the service received a file.

None of these alone authenticates the scene or determines liability. If you photographed a condition after first noticing it, explain that distinction in a note. Keep relevant source messages separately rather than assuming a date field tells the whole story.

What Tenacove includes in a real export

The complete ZIP contains original photo files, report.html, manifest.json and a README. The report places photos, room labels, notes and dates together. The manifest is the structured record list and includes file sizes and SHA-256 values. The originals folder contains the uploaded file bytes without re-encoding.

The current export is not a PDF, a signed inspection, a certified timestamp or a legal assessment. Tenacove does not import your lease, video, original email thread or PDF invoice, so those are not silently added to the download.

Download, extract and inspect

Open Files in the application and request the complete archive. Check your browser’s Downloads or device Files app. Extract the entire ZIP into a folder. Open report.html from the extracted folder, with the originals directory still beside it; moving only the HTML file can break its image links.

Check at least one record from each important stage. Open several originals directly and compare the notes and dates with what you expect. If you keep multiple tenancies, confirm which tenancy the download includes. The app also offers an all-tenancies export when applicable.

A concrete test, with narrow limits

In an authenticated Tenacove test on October 18, 2026, two generated JPEGs were saved using separate desktop browser sessions. After refresh, both records could be read. A complete ZIP included both originals, a report and the manifest. The downloaded image bytes matched the uploaded test files, and both report images loaded after extraction.

This supports that tested file round trip. It does not demonstrate real customer outcomes, acceptance of evidence, all file formats, mobile camera behavior, security certification or recovery from every storage failure. Synthetic test images are not tenancy evidence.

Create a separate folder for the lease, inspection forms, maintenance correspondence, invoices and handoff acknowledgments. Use stable filenames and keep the original messages or documents. You can reference a work-order number in a photo note, but preserve the actual work order outside the app.

If you later need to explain a charge, make a source index that links each item to a photo or document. Mark unavailable records explicitly. For a legal deadline or submission requirement, use local tenant-rights and legal-aid resources; an HTML report is not a guarantee of compliance.

Protect the copy you share

A complete archive can contain private apartment details and original metadata, including location information. Review it before sending it to another person or posting any excerpt. Keep an unmodified private backup even if you prepare an annotated or redacted copy elsewhere.

Export regularly and keep originals independently of this early Beta. The service has no self-service restore and does not promise permanent storage. Read the privacy and storage details before deciding what to upload.
